Job Description
Our client is seeking an experienced Executive Assistant to support the Chief Executive Officer and leadership team. This role is central to ensuring the executive office operates efficiently and that the CEO’s time, communications, and priorities are managed effectively.
The successful candidate will act as a trusted partner to the CEO, managing schedules, coordinating meetings and travel, and overseeing the flow of information into and out of the executive office. This includes monitoring and triaging inbound communications, identifying actionable items that require the CEO’s attention, and ensuring important matters are escalated or delegated appropriately.
The Executive Assistant will also coordinate both professional and personal commitments within the CEO’s calendar to ensure priorities are aligned and scheduling conflicts are avoided. Working closely with senior leadership and internal teams, this individual will help ensure meetings are well prepared, commitments are tracked, and key activities across the business remain coordinated.
This role requires a proactive professional who can anticipate needs, exercise sound judgment, and manage multiple priorities while operating with discretion in a fast paced environment.
Responsibilities
- Manage the CEO’s calendar, coordinating professional and personal commitments to ensure priorities are aligned and conflicts avoided
- Monitor and triage the CEO’s inbox, identifying actionable items and escalating priority matters appropriately
- Coordinate domestic and international executive travel, including complex itineraries, visas, and travel logistics for the leadership team
- Manage executive meetings, travel, and events, ensuring all logistics and materials are prepared in advance
- Track key deliverables and commitments made by leadership teams
- Ensure follow-through and accountability across departments
- Prepare agendas, briefing materials, and documentation to support effective executive decision-making
- Track action items and commitments arising from meetings and ensure timely follow-up
- Prioritize inbound requests and manage access to the CEO to protect time and focus on key priorities
- Support coordination across the leadership team to ensure activities and communications remain aligned
- Provide general administrative and organizational support to the executive team to help ensure the smooth running of the business.
- Introduce systems, tools, and processes that improve organization, communication, and efficiency within the CEO’s office
- Continuously identify ways to elevate how the executive office operates
Requirements
- 10+ years experience supporting senior executives in a fast paced corporate environment
- Proven ability to manage complex executive calendars and high volumes of communication
- Experience triaging executive inboxes and exercising judgment in escalating key matters
- Proven ability to coordinating complex international travel and visa requirements for senior executives
- Exceptional organizational skills with strong attention to detail
- Excellent written and verbal communication skills
- High level of discretion and professionalism when handling confidential information
- Ability to anticipate needs and operate proactively with minimal supervision
- Based in or willing to work from Kelowna, British Columbia
